Role Overview

The board liaison reports to the CEO and acts as the primary point of contact between the organization's board of directors and its senior management and staff. Key responsibilities include coordinating board meetings, preparing agendas and minutes, managing communications, maintaining governance records, providing administrative support to both the Board of Directors and Board of Trustees and supporting the agency’s strategic initiatives. The role requires exceptional organizational and communication skills, high-level discretion, and strong proficiency in office software like Microsoft Office, TEAMS, FoxIt, SharePoint, and Diligent.

 

Areas of Accountability

 

  • Meeting coordination: Schedule and organize monthly board and committee meetings, special events that include board participation. Manage the meeting calendar, events, and coordinate logistics.
  • Material preparation: Assist in preparing agendas, reports, and presentations for board review and ensure all governance-related materials are maintained, up to date and presented timely.
  • Communication: Serve as a key point of contact for board members, managing inquiries and ensuring seamless communication between the board and management.
  • Administrative support: Provide high-level administrative support to the board and committees, manage confidential information with discretion, and assist with special projects.
  • Record-keeping: Maintain accurate and organized records of board and committee activities, decisions, and minutes.
  • File Management: Maintain and update the BoardEffect/Diligent platform in accordance with the agency’s document retention and archival standards.
  • Relationship management: Build and maintain strong working relationships with board members, staff, and other key stakeholders. 
  • Onboarding New Board Members: Collection of Bio, CV, and board membership forms. Process Avenue 360 systems and board software access. Facilitate orientation and training.
  • Other duties as assigned by CEO.

Required skills and qualifications

  • Professionalism: High level of professionalism, discretion, and the ability to handle sensitive and confidential information.
  • Communication: Excellent written and verbal communication skills for drafting correspondence, reports, and minutes.
  • Organization: Exceptional organizational and time-management skills to manage multiple tasks and projects simultaneously while meeting deadlines.
  • Technical proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Interpersonal skills: Strong diplomacy and interpersonal skills to build and maintain relationships with diverse personalities.
  • Problem-solving: Ability to think ahead, anticipate needs, and work independently with minimal supervision.
  • Education/experience: High School Diploma or equivalent required. A bachelor's degree is preferred, along with a minimum of 3 years of experience in a high-level administrative, board liaison or executive assistant role.

Flexibility: Willingness to work evenings and weekends as required for events and meetings.
